What the template captures:
- Customer Name and address
- Primary Contact
- Visit frequency (Route Days)
- Last Invoice Date
- Next Service Date (AUTOMATICALLY CALCULATED)
- Service notes (“Use back door” / “Gate code 1234”)
BONUS: Smarter Scheduling with Color Coding

In addition to having all of the basic customer information, I have added a Color Coded NEXT SERVICE DATE field.
This field uses the last invoice date and adds the number of route days to calculate the next Service Date and color codes it.
- RED: Late
- GREEN: due Today
- ORANGE: Tomorrow
- WHITE: Upcoming/ unknown
This little bonus not only makes it easier for your reps plan their routes, but it is also a great incentive to have them keep their customer route list accurate and up to date.
How to Use the Route Template in Google Sheets
Step 1: Make Your Own Copy
- Click the link to the route template. Download Route Customer List
- You’ll see a page that says “Would you like to make a copy of this document?”
- Click “Make a copy.”
- The sheet will open in your Google Drive—this is now your version to edit.
Step 2: Rename the Sheet for a Specific Route
- In the top-left corner, click the file name (it will say “Copy of Route Log Template”).
- Rename it something like:

Step 3: Share It with a Sales Rep
- Click the “Share” button in the top-right corner.
- Under “Add people and groups,” type the rep’s email address.
- Make sure their role is set to Editor so they can fill it out.
- Click Send.
Step 4: Repeat for Each Route
For each route or rep:
- Go to File > Make a copy
- Rename it for that route
- Share it with the right person
This way, each rep has their own sheet, and your original stays clean and untouched.
